Family enquiry privacy notice
How we use the details you send through our first-step family support enquiry form. Effective 1 October 2026.
Who is responsible
Here & Now Children's Rare Disease Support (Scottish charity SC055345) is responsible for this information. Contact us at info@hereandnowcharity.com or 13 Almondbank Drive, Livingston, West Lothian, EH54 5JU.
What the form asks for
We ask for your name, email address, Scottish town or council area, and the kind of support you are interested in. You may add a short answer if you select “Other”. Please do not include a child's name, diagnosis or medical records in this form.
Why we use it
We use these details to reply, understand whether you are enquiring from Scotland, and explain the next step for support. Our lawful basis is our legitimate interests in responding to requests for charitable support. You do not have to send an enquiry, but without your contact details we cannot reply. We do not use this form for marketing or make grant decisions automatically.
Who can see it
Responses are held in our Microsoft 365 account using Microsoft Forms. Access is limited to authorised people handling enquiries for the charity and Microsoft as our service provider. We do not sell or publish your enquiry. Microsoft may process service information outside the UK under the safeguards in its service agreements.
How long we keep it
We keep enquiries that do not progress to an application for three months after closure, then delete them unless we need a record for a complaint, safeguarding matter or legal obligation. If you go on to make a full application, we will explain separately how we handle the extra information and diagnosis evidence.
Your choices and rights
You can ask us for access to your information or to correct it, and in some circumstances to erase or restrict it. You may object to processing based on legitimate interests. Email us at info@hereandnowcharity.com. You can also complain to the Information Commissioner's Office.
